Employees manage their own day-to-day HR tasks: view their schedule and timesheet, check absence balances and accruals, submit leave and overtime requests, register business travel and request a daily-allowance advance, submit salary-advance and additional-payment requests (for example eyewear or allowances), update profile details such as photo and bank account, access their payslips, and view and sign their employment contract and other documents. The most common employee questions, such as 'How many vacation days do I have left?' are answered without contacting HR.
Managers see their team's schedules and timesheets, approve absence and overtime requests, review team overtime balances before approving extra shifts, and pull team-level reports. Visibility is scoped to the manager's reporting line, and a separate managerial structure can be maintained for matrix organisations so functional and reporting lines don't have to match.
Employees register a business-travel request covering multiple destinations and periods, and daily allowances are calculated automatically per each country's statutory rules. A travel advance can be requested before the trip; afterwards, expenses are reported and settled against that advance. Standalone expense reports outside business travel are also supported. On approval, the relevant amounts flow to payroll automatically rather than through a separate finance request.
Employment contracts, amendments, job descriptions, and other documents can be signed digitally using Smart-ID, eID, eParaksts mobile, and ZealID — each a legally binding e-signature standard in the relevant country. Documents are signed inside the portal without printing, so onboarding paperwork and contract changes are completed electronically end to end.
Yes. The self-service is browser-based and works on mobile devices, so employees and managers can check balances, submit requests, and approve items from a phone.
Access to the self-service ends on the first day after the employee's termination date. Their employment record, payslips, and history remain in the system for HR and payroll under the applicable retention rules; it is the employee's own login that is closed.
No. Employees can view their contract but cannot edit it. Employment changes — amendments, salary changes, position moves go through Core HR and the document-driven approval process, so every change is reviewed, approved, dated, and auditable rather than self-edited. Employees can maintain low-risk profile data such as their photo and bank account.
Employees see only their own personal data. Manager visibility is limited to their own reporting line, access is role-based on a need-to-know basis, and special-category data such as health-check information is held under stricter access and data-protection rules. Retention rules apply automatically per data category in line with GDPR.
