When a new hire joins, personal data arrives from several directions.

One person sends contract by email. Another writes bank details on a paper form. Information about dependants comes later. The HR administrator collects it, checks it, and types it into the system. A typo is usually found on the first payslip.

A contract change is made for an employee, but Payroll doesn't get the information.

When an employee works in more than one legal entity, a salary or role change in one country does not reach the others on its own. The HR administrator repeats it manually. Months later, severance is calculated against the wrong tenure.

Eight months after someone leaves, no one can say what changed in their record.

The address was updated in May, the role changed in July, but only the current values are visible. There is no log of who made the changes or when. When a labour inspection comes in, the answer takes time to put together.

Employee data stays within the entity it belongs to.

Personal employment data, contracts, salary history, termination records – is subject to the data rules of the country where the legal entity operates. An HR administrator in Poland does not see Lithuanian employment records unless their role requires it. Access is defined by role, tied to the organisational structure, and logged at every point.

When an employment record is changed, the original is preserved. Retention periods apply automatically based on each country's requirements. When data needs to be removed, that process is handled by the system.

What does ‘Core HR’ cover in Hermetis?

Core HR runs the whole employee lifecycle: hiring through a standardised process with role-based approvals and the printouts a labour inspection expects, contract changes (role, salary, FTE, schedule, entity move), and terminations that auto-generate the required documents. It holds personal data, positions, organisational structure, and full employment history, and you can reconstruct an employee's status and conditions at any past point in time. It is the single source of truth that Payroll, Working Time, and Business Travel read from.

How does the document-driven approval flow work?

Every change to employment data hire, contract amendment, role change, termination — is created as a document, reviewed and approved by the responsible people, and takes effect on a specified date. Posted documents can be cancelled or reversed through a governed mechanism where the document type allows, so errors caught after posting are unwound deliberately, not edited away. Once a change is approved, Payroll, Working Time, and Business Travel all read the same confirmed record automatically.

What employment and contract types are supported?

Hermetis supports standard employment relationships under each country's labour law and manages civil contracts in parallel. Registering them, processing instalments, and terminating them, with contractor payments and tax treatment handled separately from employment per national rules. It also administers non-compete agreements at termination, including the post-termination payouts and their country-specific tax treatment, and can run periodic external-engagement declarations for staff in regulated industries.

How is multi-entity employee management handled?

Each employee belongs to one Legal Entity, and an HR team managing several entities works from one console with no separate logins or copied data. Moving someone between entities in the same group uses a 'termination for re-hire' flow that preserves employment continuity and tenure-based conditions, and previously terminated employees can be re-hired with their service continuity recognised so neither internal transfers nor boomerang hires reset tenure-based entitlements to zero.

How is GDPR handled — retention, audit, sensitive data?

Retention rules apply automatically per data category against predefined legislative baselines, so records are kept for the required period and then handled per policy. Every access to and change of employee data is logged, supporting the GDPR Article 30 record of processing, and special-category data such as health-check information is automatically placed under stricter access control. As data controller, the customer configures retention and audit scope; Hermetis provides the technical means and a baseline configuration.

How is employee data shared with Payroll and Working Time?

Core HR is the single source of truth, and Payroll, Working Time, and Business Travel read employee data directly from it rather than keeping their own copies. When HR confirms a contract change a new salary, say it is immediately visible to those modules without re-entry, and the new rate is picked up in the next monthly payroll run rather than needing a parallel update.

How are jobs, positions, and structures managed?

Organisational structure, Legal Entities, jobs, and positions live in a dedicated module (Structure, Jobs, and Compensation), which Core HR draws on. Whole departments, teams, or positions can be moved in a single mass-structure change, with subordinate units travelling along and the personnel-admin documents generated automatically so a reorganisation or M&A integration is one planned operation rather than weeks of per-employee edits. A separate managerial structure supports matrix reporting.
